CREDENTIALING & ENROLLMENT

Provider Credentialing and Payer Enrollment Without the Paperwork Backlog

Elara Associates manages credentialing applications, payer enrollment, CAQH profiles, and re-credentialing deadlines for physicians, advanced practice providers, and group practices. We track every application until it’s approved, so your providers can see patients and bill for their work.

THE PROBLEM

Every Week a Provider Isn't Enrolled Is a Week of Unbillable Visits

Credentialing is slow, detail-heavy, and unforgiving. A missing document or an outdated CAQH attestation can pause an application for weeks, and payers rarely notify you when something stalls.

Practices commonly run into:

  • New providers who can’t bill because enrollment isn’t complete when they start seeing patients.
  • Applications stuck in payer queues with no one following up.
  • Expired CAQH attestations, which must be re-attested every 120 days.
  • Missed Medicare revalidation deadlines, which can interrupt billing privileges.
  • Re-credentialing dates tracked in spreadsheets or not at all.
  • Location or TIN changes that require updates across every payer.

Credentialing mistakes don’t just delay revenue. They can lead to denied claims, retroactive recoupments, and frustrated patients who are told a provider is out of network.

THE SOLUTION

Credentialing Managed Start to Finish

Our credentialing coordinators handle the full process: collecting documents, completing applications, submitting to payers, following up on a set schedule, and maintaining every provider’s file after approval.

We keep a central record for each provider with license, DEA, board certification, malpractice, and payer enrollment details, plus reminders for every expiration and re-credentialing date.

Because credentialing sits alongside our billing and marketing teams, we coordinate start dates, billing setup, and even marketing launches around actual enrollment approval.

Timelines vary by payer and state. Many commercial payers take 60 to 120 days or longer, and some panels are closed to new providers. Complete applications and regular follow-up help avoid unnecessary delays.

Typically a CV with work history, state licenses, DEA certificate, board certification, malpractice insurance, education and training records, and NPI information. We provide a full checklist at intake.

It depends on the payer and the situation. Some payers allow retroactive effective dates; many don’t. We’ll explain the options for each payer so you can schedule accordingly.

Yes. Many commercial payers re-credential providers about every three years, and Medicare requires periodic revalidation. We track these dates and submit on time.

We can request exceptions, document network adequacy needs where applicable, and identify alternative payers. Approval is at the payer’s discretion.
