Elara Associates provides medical billing, revenue cycle management, credentialing, marketing, and AI automation services to healthcare practices. This policy explains what personal information we collect through our website and services, why we collect it, and what choices you have.
If you don’t agree with this policy, please don’t use our website or submit your information to us.
This policy covers personal information we collect when you visit our website, fill out a form, book a call, subscribe to our updates, or contact us. It also covers information we receive when you sign up as a client.
It does not cover protected health information (PHI) that we handle on behalf of our healthcare clients. That information is governed by HIPAA and by the Business Associate Agreement we sign with each client. See section 4 below.
You can browse the public pages of our website without telling us who you are. If you contact us or become a client, we may ask for:
Payment card and bank (ACH) details are handled through a payment processor. We don’t store full card numbers on our own systems.
When you visit our website, your browser and device send us certain technical data. This can include your IP address, browser type and version, operating system, device identifiers, the pages you view, the site you came from, the date and time of your visit, and how long you stay.

Many of our clients are covered entities under the Health Insurance Portability and Accountability Act (HIPAA). When we handle PHI for them, we act as a business associate. We only use and disclose that information as our Business Associate Agreement and the law allow, and only to do the work our client asked us to do.
Please don’t send PHI through our website contact form or by regular email. If you need to share patient information with us, we’ll set up a secure method first.
If you are a patient and have questions about how your provider uses your health information, please contact your provider directly. Elara works on their behalf and can’t answer for them.
Our website uses cookies and similar tools. A cookie is a small file stored on your device. We use them to keep the site working, remember your settings, and measure traffic through analytics tools.
You can block or delete cookies in your browser settings. If you do, some parts of the site may not work as expected. You can also turn on the Global Privacy Control setting in supported browsers, and we will treat it as a request to opt out of the sharing of your information where the law requires that.
If you give us your mobile number and agree to receive texts, we may send messages about scheduling, service updates, and account matters. Consent to receive texts is not a condition of buying anything from us.

You can unsubscribe from marketing emails at any time using the link in the email. Some information we must keep to meet legal or contractual duties, and we’ll tell you if that applies to your request.
Visitors from the EEA and UK. Where those laws apply, we process personal information based on your consent, our contract with you, our legitimate business interests, or a legal duty. You may also complain to your local data protection authority.
Our website and services are meant for healthcare practices and business users. They are not directed to anyone under 18, and we don’t knowingly collect personal information from children. If you believe a child has given us personal information, contact us and we will delete it.
Our website may link to other sites, such as payer portals, scheduling tools, or social media pages. We don’t control those sites and aren’t responsible for their privacy practices. Please read their policies before you share any information.
We may update this policy from time to time. When we do, we’ll change the “Last updated” date at the top of this page. If a change is significant, we’ll also give clearer notice, such as a message on our website or an email to clients. Continuing to use our website after an update means you accept the updated policy.
